How to manage the implementation of the new authentication system

Learn how to benefit from the new authentication system with minimal disruption

A new authentication system is coming in Mid-March 2024 to provide you with even greater protection against cybersecurity threats and ensure your data remains private and secure. Please ensure you read carefully and action for Care Office users before March 12th 2024

Why are the new security features important for your service?

  • Adhere to the NHS Transformation Directorate Information governance requirements.

How to manage this change with minimal disruption

Please note that everyone who is using Log my Care on the Care Office (Admins, Senior Carers, Group Admins and Group Managers) needs to ensure that the email address linked to their Log my Care account is both accurate and accessible, to verify their identity upon launch.


​This step is mandatory to ensure access to Log my Care once the security features are launched.

Important

By using the new Download centre, you can export your team members' data like name, email address and more. This way you'll be able to see all of their emails in one place.

Step 1: Choose a deadline before 12th March

Agree with your management team on a deadline when all Admins, Senior Carers, Group Managers and Group Admins need to check that the email address linked to their Log my Care account is accurate and accessible.

To seamlessly transition to our new authentication system, all users will have to follow these steps:

  • πŸ’Œ Check your email address is correct: ensure that the email address linked to your Log my Care account is both accurate and accessible. You will need to confirm your identity from this inbox upon launch.

  • πŸ”” Make sure you can access your email mailbox: if you no longer have access to the email address inbox, please ensure a user with admin access updates your profile with an email you are able to access.

Important

Whilst this might seem like a tight deadline, according to our system the majority of Care Office users are already compliant with this - out of the 7,000 of you using the Care Office regularly, 15 users may have incorrect email. We're reaching out to the managers of these services directly to ensure no one loses access.

Step 2: Communicate the change across the organisation

  • What actions your team needs to take (ensure that the email address linked to your Log my Care account is both accurate and accessible).

What to do about staff members/ agency workers using the Care Office who don't have a valid email?

Create an email address for them

You can create an email address for the users who don't have a valid one and update their email address on Log my Care. To do this, log into the Care Office, then go to the the team member's profile, edit the email section and save changes.

Once the new security features are launched, users will no longer be able to set passwords for other team members - admins will not be able to set passwords for their colleagues. You will still be able to set PINs for app users

Alternatively, set up an email with "+ word"

To make it easier for the user to remember their new email address, you can set up a new email using the same email address they had before and adding "+word".

For example if the invalid email address they had was "julie@gmail.com", you can set up another email address like "julie+carer@gmail.com. Once they have a new and valid email address, share this email address with the user and update their email address on Log my Care.

To update the user's email address in Log my Care, log into the Care Office then go to the the team member's profile, edit the email section and save changes.
