Roles and Permissions

Every team member is assigned a role, which determines the areas of Log my Care they can access.

Some roles can also be assigned Add-on Capabilities, giving access to specific features without changing their role.

Choosing a role

When inviting a team member, you’ll need to select the most appropriate role for them.

Role

Access

Administrator

  • All Care Office features

  • All Carer App features

  • Managing team members, roles and permissions

  • System settings, devices and IT pages

Management

  • Access most areas of Care Office

  • Access all Carer App features

  • Manage team members, roles and permissions (except Administrator. Users with the Management role cannot assign or promote a team member to the Admin role)

  • Perform most management tasks, including deleting records where permitted

Management users cannot access Settings, Devices or IT pages, and cannot remove service users or team members.

IT & Security

  • Access the Team section

  • Manage IT settings and devices

Senior Carer

Senior Carers can:

  • Access most Care Office areas

  • Use the Carer App with full permissions

  • View service user profiles and body maps

By default, Senior Carers cannot:

  • Access the Team section

  • Archive risk assessments

  • Edit consent forms

  • Close incidents

  • Access Training, the Skills Matrix or the Download Centre

Additional permissions can be granted using Add-on Capabilities.

Carer

  • They can complete day-to-day care tasks but have some restrictions, such as not being able to review care plans and goals.

Audit View

  • Audit View users have read-only access to Care Office, including the Audit Trail and safeguarding logs.

  • Cannot access settings and safeguarding logs

Add-on Capabilities provide access to specific features without assigning a higher-level role.

Safeguarding Oversight

(Previously known as “Safeguarding Officer.”)

Administrator and Management only

All users can create safeguarding logs where their role allows. However, only users with the Safeguarding Oversight add-on can oversee and manage safeguarding logs. Other roles cannot manage safeguarding logs.

Team Management

(These permissions were previously grouped under Care Management)

Senior Carer

Allows Senior Carers to carry out team management tasks, including:

  • Inviting new team members

  • Managing existing team members

  • Re-sending invitation emails

Service User Management

(These permissions were previously grouped under Care Management)

Senior Carer

Allows Senior Carers to manage service user information, including:

  • Personal details

  • Care plans

  • Key information held on a service user's profile

Incident Management

(These permissions were previously grouped under Care Management)

Senior Carer

Allows Senior Carers to review and close incidents.

Download Centre Access

(These permissions were previously grouped under Care Management)

Senior Carer

Allows Senior Carers to access the Download Centre and export available reports and information.

Medication Management

All, except IT & Security and Family

Allows users to:

  • Add new medications

  • Manage medication stock

  • Carry out medication management tasks based on their role
