As an Admin, you can now manage incidents more effectively in the Care Office by reviewing and creating incident cases, reviewing incident lists and through the incident dashboard.
Getting Started
In the settings, you have the option to enable locations and add the relevant locations of where your clients usually stay. Carers can then select from these locations when recording incidents in the app.
Incidents that are closed without a case are automatically categorised to Level 1 severity.
Reviewing Incidents
To review incidents you can click on 'view all' on the incident section on the dashboard which will take you to the incident list.
The incident list allows you to filter between statuses to check incidents that are closed, open or need review. You can also filter between location, client, date range, severity and incident type.
Click on 'status' and then 'needs review' to see the incidents that currently require your attention.
Once you've clicked on an incident, click on review on the drop-down you have the option to close the incident if no further action is required or to an incident case.
Here admins will be able to add more detail on the incident including other clients who were involved, and witnesses. You can also go into detail on restrictive practices, who was injured, add learning and outcomes and follow-up actions.
Once you are done, you can press save in the top right corner.
To close the incident you want to navigate back to the incident list, by going to reports > incidents > incident list. Filter through the incidents that are still open, click on the one that you want to close > press edit and then close the incident.
Once an incident is closed you can always go back to re-open the incident at a later date if you need to make any changes!
Incident Dashboard
The Incident Dashboard provides a comprehensive view of case data and tracks incidents over time. You can filter the information by location and incident outcomes, offering deeper insights into incidents at your care service.
You can find the incident dashboard by heading to reports> incident and it will appear on the drop-down menu.
From the incident dashboard, you will be able to see actions from cases, and if any have been completed, not started or still in progress. You can view the cases that are still open, closed and still need review and also check to what extent teams are filling out case details.
You can also date range to show incidents over time which can be filtered to show total incidents, severity, location, and incident type over a certain period, admins can use this to spot incident trends.
