📍 How to Reconcile Visits and Shifts
Navigate to:
Rota > Reconciliation
2. Use the filters to select the pay cycle you want to review. 📅
The reconciliation page will display all visits and shifts within the selected period for team members who have a pay rate assigned.
⚠️ Important:
If a team member does not have a pay rate assigned, their visits or shifts will not appear in the reconciliation table. Please assign a pay rate first before continuing.
3. 🔎 Using Filters to Review Events
Filters can help you quickly identify which visits or shifts require attention.
🚨 Status Filter :Select “Needs attention” to view visits and shifts that have not yet been reconciled.
⏱️ Duration Discrepancies Filter : Select “Duration discrepancies” to highlight events where there is a difference between:
The planned duration (scheduled time)
The actual duration (based on clock in/out times)
4. ☑️ Selecting Events to Reconcile
Use the checkbox next to each event to select individual visits or shifts.
To select all events in your filtered view, use the checkbox at the top of the table.
Once selected, choose how the events should be paid:
🗓️ Planned duration
⏰ Actual duration
Click “Reconcile” to confirm.
✅ What Happens After Reconciliation?
Once reconciled:
The selected events will be marked as “Reconciled”
Paid time will update based on your chosen duration type
Pay will automatically calculate using the assigned pay rate and duration
The events will then be included in your pay report 📄
✏️ Setting a Custom Pay Amount
If you need to override the automatically calculated pay for a specific visit or shift, you can set a custom pay amount.
How to Set a Custom Pay Amount
Click the ✏️ pencil icon in the “Pay amount” column
Enter the desired pay amount
3. Click “Save”
✅ What Happens Next?
After saving:
The event will be marked as “Reconciled”
Actual duration will be used as the paid time
The custom amount will override the automatic pay calculation 💷
🚫 Don’t Pay for an Event
If a visit or shift was missed and should not be paid, you can mark it as “Don’t pay.”
How to Mark an Event as Don’t Pay:
Use the “Duration discrepancies” filter to find missed visits/shifts
Select “Missed”
Locate the relevant visit or shift in the reconciliation table
Click “Don’t pay” at the end of the row
5. Enter a reason for why the event should not be paid
6. Click “Save” 💾
✅ What Happens Next?
Once saved:
The event will be marked as “Reconciled”
No pay will be applied to the visit or shift ❌💷
The reason will be recorded for future reference 📝
