Setting Up Pay Rates

Before you can generate pay reports, you’ll first need to create your pay rates. Pay rates determine how team members are paid for visits and shifts, including any special rates for different shift types.

📍 How to Set Up Pay Rates

  1. Navigate to:

Settings > Rostering > Pay Rates

2. Turn on the toggle to activate pay rates for your site.

3. Then click “Add a new pay rate” to create your first rate card.


✏️ Completing Your Pay Rate Details

When creating a pay rate, you’ll need to complete the following fields:

🏷️ Name

Give your pay rate a clear and recognisable name so it’s easy to identify when assigning it to team members.

Examples:

  • Standard Carer Rate

  • Weekend Rate

  • Senior Support Worker


📅 Effective Date and Time

Set the date and time from which this pay rate should apply to visits and shifts.

⚠️ Important Notes:

  • During the initial setup, you can select a past date

  • Once the pay rate has been saved, future edits can only apply to future dates

  • Double-check the effective date and time carefully before saving


💰 Base Rate

Enter the standard pay rate that should apply to visits and shifts.

For example:

  • Hourly pay rate

  • Default shift rate


➕ Adding Override Rates (Optional)

If certain shift types require different pay rates, you can add overrides.

Click “+ Add override” to create special rates for specific shift types, such as:

  • 🌙 Sleep-ins

  • 🏠 Live-ins

  • 📆 Weekend shifts

For each override, you can choose between:

  • GBP/hour ⏱️ : An hourly rate based on duration

  • GBP fixed 💷 :A fixed amount regardless of visit or shift duration

✅ All pay rates, including the base rate and overrides, can be configured as either GBP/hour or GBP fixed.


✅ Finalising Your Pay Rates

4. Before saving, carefully review all rates and effective dates.

⚠️ Warning:

Once saved, changes can only be applied to future dates.

When ready, click “Save changes”

5. When ready, click “Save changes”

6. Your pay rates are now ready to be assigned to team members.


👥 Assigning Pay Rates to Team Members

Once your rate cards are created, you can assign them to team members so they apply automatically to visits and shifts.

🔄 Making Changes to Existing Pay Rates

If your pay rates change in the future, for example due to annual pay increases, you can update them at any time.

How to Edit a Pay Rate

  1. Navigate to:
    Settings > Rostering > Pay Rates

2. Select the relevant rate card

3. Click “Edit rate”

4. Make the required changes

5. Set a new effective date and time 📅

This determines when the updated rate will begin applying

6. Click “Save Changes” 💾

✅ What Happens Next?

The updated pay rate will automatically apply to all visits and shifts from the selected effective date onward.
