📊 Charge Reports

The Charge Report gives managers an overview of charges for service users based on reconciled visits.

It can be used to:

  • View the total charge per service user

  • Understand how charges have been calculated

  • Export charge data for invoicing purposes


Please note: this report will only be visible for admins & managers.


Where can I find the Charge Report?

To access the Charge Report:

  1. Go to the Reports tab

  2. Select Rostering from the left-hand menu

  3. Click Charge Report

The report will display charge information for all service users based on the selected date range.

All charge calculations are based on reconciled events from the Reconciliation tab.


Using the Charge Report

You can use the available filters to narrow down the information shown:

  • Date range – select the period you want to review

  • Service User – view charges for specific service users

  • Funding type – filter charges based on funding type

The report table shows:

  • The total reconciled charge per service user

  • The total reconciled hours per service user

  • Any items requiring attention

Important - If any items are marked as "Needs attention", the report may not be fully accurate.

This means there are still unreconciled events that need to be reviewed. Please go back to the Reconciliation tab and reconcile any outstanding visits before using the report for invoicing.


Viewing a detailed breakdown

To see how a service user's charge has been calculated, select the service user from the report.

A detailed view will open showing:

  • Reconciled visits and shifts, including the date, assigned team members and event type

  • The event status and charged time for each entry, including whether this is based on:

    • Planned time

    • Custom charge

    • No charge

  • The applied charge rate and calculated charge amount

At the bottom of the detailed view, you’ll also see a summary of the total visits, broken down by care type.


Exporting charge data

The Charge Report can be exported to help support your invoicing process. Before exporting, we recommend checking that all visits have been reconciled and that there are no outstanding items marked as "Needs attention" to ensure the information is as accurate as possible.
