If a service user has more than one body map that relates to the same incident, you can now link all of them to a single incident case - so everything sits in one connected record. It's also easier to tell body maps apart when choosing one, which reduces the risk of linking the wrong one.
Please note: This feature is available in Care Office only.
Before you start
You’ll need to have already created the incident and the relevant body map(s) for the Service User.
Open the incident
First, open the incident you want to link the body maps to.
Go to Incident Log.
Find the incident and select Review in the top right-hand corner.
Select Create Case from the dropdown.
Scroll down to Incident Details.
Add the body maps
Under Incident Details:
Select Injuries.
Select Yes. This will open some additional options.
Select Injury of Service User.
Select Add Body Maps.
A panel will open showing all the body maps that have been created for that Service User.
If the Service User has several body maps, you can check the details of each one before selecting it.
Select Show Description to see when the body map was added, any details recorded against it, and who created it. Select Hide Description to close the details again.
Select the body map(s) you want to link to the incident. You can select more than one, and each body map can contain multiple marks or injuries.
Once you’ve selected the body maps you need, select Add.
⚠️ Important: Selecting Add will attach the selected body maps to the incident. If you want to start again, select Cancel instead. Nothing will be saved when you select Cancel.
Once the body maps have been added, you can remove any of them from the list or select Add Body Maps again if you need to attach any others.
When you’re happy with your selection, select Save in the top right-hand corner to save the incident case.
View the linked body maps
Once the incident case has been saved, you can view the linked body maps from the incident review page.
Scroll down to the related body maps and select a body map to open it and view the full details in Care Office.
Why link multiple body maps?
If an incident involves injuries recorded at different times or in different areas, linking all the relevant body maps to the same incident means the information can be viewed together.
You can also use Show Description before adding a body map to make sure you’re selecting the correct record, particularly when a Service User has several body maps on file.
In summary
You can now:
Link multiple existing body maps to one incident.
Check a body map’s details before linking it.
Remove or add body maps before saving the incident.
Open linked body maps directly from the incident review page.
Remember: Body maps must already exist before you can link them, and this feature is currently available in Care Office only.
