Get set up for Geofencing

Here is how to enable geofencing in Log my Care, set distance limits, and control whether carers receive warnings or are blocked from clocking in and out outside the visit location.

Enable Geofencing for Visits 📍

Geofencing helps make sure carers clock in and out at the correct visit location.
This gives your team better oversight and helps confirm visits are completed where they should be.

You can choose whether carers should:

⚠️ Receive a warning if they’re far from the visit location
🚫 Be blocked from clocking in or out entirely


Before You Enable Geofencing 🚨

Geofencing requires GPS Location Tagging to be turned on first.

If GPS tagging is not enabled, you won’t be able to access geofencing settings.


How to Turn On Geofencing

  1. Go to Care Office Settings

  2. Select Rostering

  3. Click Geofencing

  4. Choose the geofencing option that works best for your team

Choose a Geofencing Setting

You can choose how strictly location checks are applied.


Geofencing Off ❌

Clock-in and clock-out are not restricted by location.

If carers allow location access on their device, the system will still tag the visit with their GPS location, but no warnings or restrictions will apply.


Send Warnings Only ⚠️

Carers can clock in or out from any location, but they will receive a warning message if they are outside the allowed distance from the visit address.

They can still proceed after the warning.

Best for:

  • Rural areas

  • Areas where GPS accuracy may vary

  • Teams that want visibility without blocking visits

What Happens With “Warnings Only”? ⚠️

If a carer is too far from the visit address or offline, they will still be able to clock in or out but will see a warning.

If they continue, this will be recorded and visible in:

👁 The Monitoring page
🛠 The Builder
📄 The Visit details drawer

This helps managers review visits where location verification was flagged.


Complete Block 🚫

Carers cannot clock in or out unless they are within the allowed distance from the visit address.

This helps ensure visits are only recorded when carers are at the correct location.

⚠️ Important:
All carers must update their app to version 3.65.0 or later, as the geofencing restriction only applies from this version.

What Happens With “Complete Block”? 🚫

If Complete Block is enabled, carers will not be able to clock in or out unless their location can be verified within the allowed distance.

Clocking will also be blocked if:

  • The visit address is invalid

  • The carer’s location cannot be verified

  • There are connection or GPS issues

Best for:

  • Providers who require strict visit verification

  • Teams that need clear location confirmation


Set the Allowed Distance 📏

When using Warnings Only or Complete Block, you can choose the maximum distance carers can be from the visit address.

💡 Tip:
If carers use older devices or devices with lower GPS accuracy, we recommend setting the distance to at least 100 metres.

This helps avoid false warnings or clock-in issues.


Types of Geofencing Warnings

You may see the following warnings if location cannot be verified.

📍 Clocked in / out with invalid visit address

This appears when the visit address cannot be found on Google Maps.

To fix this, update the visit address so location verification can work properly.

🚶 Clocked in / out far from visit address

This warning appears when a carer clocks in or out outside the allowed distance from the visit address.

📡 Location could not be verified

This happens when the system cannot confirm the carer’s location.

Common causes include:

  • Weak internet connection

  • GPS signal issues

  • Device limitations

💡 Best Practice

If your team works in areas with weak signal or inconsistent GPS, we recommend using Send Warnings Only. This allows carers to complete visits while still giving managers clear visibility when location checks fail.
