Editing, deleting or resetting your rota

Let’s walkthrough making changes to your rota and how best to apply those changes.

Important: When you’re making changes to existing patterns, it is important to understand how these changes will impact your rota as you have a few options, all of which can be useful in certain scenarios (we’ll get to that later!)

Editing a rota pattern

Navigate to “Manage Patterns” in your rota menu

Select the pattern to edit by clicking on “View”

Now click on the “Edit” button

Make your changes as appropriate, if you change your mind, use the “Cancel” button to go back.

Click “Save” in the corner to keep your changes.

How to apply the changes you’ve made to your rota patterns

You’ll see a similar box pop up asking you how to make the changes, we’ll go into detail on what these mean below.

Option A: Don’t update any scheduled visits

  • Your changes will only affect rotas and events created from now onward.

  • Any existing published or draft rotas will stay the same.

This works best if you're making changes based on a fixed time in the future.

We recommend checking current patterns to see if you'll need to make manual updates.

Important: This option separates the pattern in two, new future events and those already scheduled, if you decide to make changes later to this pattern scheduled events will not change even if you chose “Option C Update all scheduled visits” at a later date

Option B: Update visits in draft status only

  • Your changes will immediately update any visits on a rota still in draft.

  • Published visits won't change, so your team's current schedules stay intact.

This is handy when you spot an error in rotas you're still preparing, letting you fix things before sharing them with your team

We recommend reviewing draft rotas afterward to make sure everything's correct.

Option C: Update all scheduled visits

  • Your changes will instantly update all rotas, including published, draft, and future rotas.

  • All scheduled events will reflect the new pattern straight away.

This is helpful when a major scheduling change occurs—like someone permanently adjusting their availability.

Make sure your team are aware of the changes, as their existing schedules might change unexpectedly.

We recommend quickly checking all updated patterns to ensure everything runs smoothly.


Deleting a rota pattern

Important: When you’re deleting patterns, it is important to understand how these changes will impact your rota as you have a few options, all of which can be useful in certain scenarios (we’ll get to that later!)

To delete a rota pattern, navigate to “Manage Patterns” in the menu bar.

Select “View” on the pattern you’d like to delete.

You’ll find the delete button in the corner.

You’ll notice the following box pop up again (as if you were editing a pattern)

Option A: Don’t update any scheduled visits/shifts

  • Deleting the pattern will only stop it from generating new events on new rotas created from now.

  • Any existing published or draft events created from that pattern will remain in place.

This is a good option if you want the pattern to stop from a certain date onward but don't want to impact what’s already scheduled.

We recommend reviewing existing events to see if any manual changes are needed.

Option B: Update visits/shifts in draft status only

  • Deleting the pattern will remove all associated events that are still part of a draft rota, but it won’t touch anything already published.

  • This is useful if you're preparing an upcoming rota and want to remove pattern-linked shifts before they go live.

  • Published events will remain in place and visible to your team.

We recommend reviewing draft rotas afterwards to make sure they still work without the deleted pattern.

Option C: Update all scheduled visits/shift

  • Deleting the pattern will remove all scheduled events linked to it—whether they’re in draft, published, or upcoming.

  • This option is helpful when a shift pattern is no longer relevant, such as when a team member leaves or has a permanent availability change.

  • Your team may see immediate changes to their schedules, so make sure you communicate clearly before applying this.

We recommend reviewing all affected rotas to confirm there are no gaps or conflicts after the deletion.


Resetting the rota (visits & shifts)

Need a reset? - not a problem, but it’s worth reading this first!

Important: The reset rota button will act slightly different depending on the week of the rota you’re resetting and the status of the events within that week.

You’ll find the reset button in the rota builder on the right-hand side under “Options”

Resetting in the current week’s rota

Unpublished events – If you’ve made changes, once reset, unpublished events will go back the schedule based on the set pattern.

Published events - All upcoming events go back to draft and will disappear from your team’s schedule. Events that have already taken place will remain on your rota.

Resetting in a future week’s rota

Unpublished events – Removes all scheduled events and the rota goes back to its initial state, here you’ll be able to choose a different allocation template when starting the rota again (if you’ve set one)

Published events - Removes all scheduled events and the rota goes back to its initial state, and they will also be removed from your team’s schedule in the Carer App. You’ll be able to choose a different allocation template when starting the rota again (if you’ve set one)
