What are rota warnings?

Learn what each visit/shift warning means to manage your team’s rota smoothly and efficiently and set up notifications for each.

To help you manage your team’s rota more effectively, our system uses warnings to highlight potential issues with visits/shifts.

These are designed to flag specific rota events when there could be an issue for you to act on.

Warning Types and What They Mean

Warning Type

Description

Not Yet Clocked In

A team member hasn’t clocked in after the scheduled start time of the visit. This warning tolerance is also used to update the visit/shift status to Overdue.

Clocked In Early

A team member clocked in before the scheduled start time.

Clocked In Late

A team member clocked in after the scheduled start time.

Clocked Out Early

A team member clocked out before the planned end time of their shift.

Clocked Out Late

A team member clocked out after the planned end time.

Missed

A team member hasn’t clocked in, and their shift’s end time has passed.

Duration Mismatch

The actual clock in/out time differs from the planned shift duration.

Skills

The team members scheduled don’t collectively have all the required skills for this shift.

Double Booked

A team member is scheduled for two overlapping shifts.

Setting up your warning tolerances

You’ll be able to set a threshold for certain warnings at a site level – this means you can choose at what point an event has a warning against it.

You may set configurable tolerances for certain warnings on your rostering settings here (https://careoffice-dev.logmycare.co.uk/settings/warnings).


How do I know when an event has a warning?

For certain warnings, you can set up active email notifications for relevant team members via the Notifications tab in the warning settings.

From there, select:

  • The type of notifications you want to receive, and

  • The team members who should receive the email notifications.

Once configured, selected team members will be automatically notified via email when the warning is triggered.
